MoveSure Movers ("we", "us", "our") is committed to protecting your privacy and handling your personal data responsibly. This policy explains what we collect, why, and your rights under UK GDPR and the Data Protection Act 2018.

1. Who we are

MoveSure Movers is the data controller for the personal data you provide. We serve Gloucestershire including Gloucester, Cheltenham, Stroud, Cirencester and Tewkesbury. For any privacy matter, contact us at support@movesuremovers.co.uk.

2. What data we collect

Your name, email address and phone number
Pickup and dropoff addresses and your move date
Details of your move — inventory of items, property type, floors/lift, and any notes you add
Photos of rooms or items you choose to upload
Payment details, which are processed securely by Stripe (we do not store your card details)
Website usage data such as the pages you visit (analytics)

3. How we use your data and our lawful basis

To prepare your quote and carry out your booking — performance of a contract
To respond to your enquiries — our legitimate interests
Website analytics — your consent (via our cookie banner)
Meeting tax and legal obligations — legal obligation

4. Who we share your data with

We share data only with service providers ("processors") who help us run our service:

Stripe — payment processing
Google Maps — distance and route calculation
OpenAI — AI analysis of uploaded room photos to estimate move volume
Microsoft 365 — sending and receiving email
postcodes.io and Ideal Postcodes — address and postcode validation
Our assigned drivers and crew — to carry out your move

Some providers (such as Stripe and OpenAI) are based in the USA. Where data is transferred outside the UK, it is protected by appropriate safeguards such as Standard Contractual Clauses (UK extension) or the UK–US Data Privacy Framework.

5. AI photo analysis

If you upload photos of your rooms or items, they are sent to OpenAI's API to help estimate the volume of your move. Under OpenAI's API terms, data sent via the API is not used to train their models. We delete uploaded photos a short time after your move is completed.

6. Cookies & tracking

We use browser storage (such as sessionStorage) and similar technologies to run optional website analytics. These are only used if you accept via our cookie banner. You can decline, or clear this data in your browser at any time, without affecting your ability to book.

7. How long we keep your data

We keep booking records for up to 6 years to meet tax and legal requirements. Uploaded room photos are deleted shortly after your move. You can ask us to delete your data sooner (see your rights below).

8. Your rights

Under UK GDPR you have the right to access, correct, erase, restrict or object to the processing of your data, to data portability, and to withdraw consent at any time. To exercise any of these, email support@movesuremovers.co.uk.

9. Complaints

If you have a concern we haven't resolved, you can complain to the UK Information Commissioner's Office (ICO) at www.ico.org.uk or on 0303 123 1113.

10. Security

Your data is sent over encrypted HTTPS connections and access is restricted to authorised staff only.

11. Children

Our services are intended for adults aged 18 and over. We do not knowingly collect data from children.

12. Changes to this policy

We may update this policy from time to time. The latest version will always be available on our website.
